User Maintenance

Users in The RAM System contain multiple types of information.  Before a user can use the Clock In/Out feature he/she must be set up as an employee in user maintenance.  Before a user can get credit or accumulate commission as a salesperson he/she must be set up as a salesperson with the appropriate commission percentages in user maintenance.  Before a user can be assigned a route he/she must be set up as a route manager in user maintenance and then must be assigned to a route in the Route file.

 

This is the User Maintenance grid.

 

Include Inactive Users

If you want to lookup inactive users, click this checkbox at the top of the screen to include those users in the grid.

 

To search users

 

Click the column for the field you want to search and the search box at the top of the grid is changed to search the selected field.  Type in the value you are looking for and press the TAB key. The selected user is highlighted in the grid, and you can click PROCEED to view the details about the user.

 
Highlight the user you want to lookup and double-click the row, or click PROCEED at the bottom of this screen.

 

 

To add a user record

 

1. Click ADD above the User Maintenance grid.

 

2. Use the FIELD DESCRIPTIONS table(s) to help you fill in the fields on each screen.

FIELD DESCRIPTIONS - USER MAINTENANCE

Number

This is the user number you assign to each person using the system.

Name

This is the name of the user.

Initials

These are the initials of the user.  The initials are used on some reports to identify the user processing the transaction.

Level

 

This is the security level granted to this user.  A drop-down box reveals the levels previously entered in the Employee Level file.  Choose the type and level that applies to this user.  If the employee level you wish to use is not listed you can add an Employee Level, under Support Files.

Warning!  When adding a user record, you may only add users with employee levels at or below your own level.   Some employee levels may not be displayed due to your own employee level.

Password

This is the password for this user.  The password is not displayed on the screen, asterisks are displayed in place of the password, for security reasons. To view a user's password you can click SHOW  at the bottom of the screen.

Route Manager

This field determines whether or not a user is a route manager or not.

Route Manager

Check this box if this user is a route manager.  You must also assign this user's code to the route this user is associated with in the Route file.

Route Manager

Do not check this box if this user is not a route manager. If you do not check this box, this user cannot be associated with a route in the Route file.

User Active

This field determines whether or not a user is active or not.  By setting a user to inactive, that user is no longer listed in the drop-down boxes for other areas of the program.

Check this box if this user is active.

User Active

Do not check this box if this user is not active. If you do not check this box, this user's record cannot be selected for any transactions in the system.

Show Button

The key button at the bottom of the screen is SHOW.  Click on this button to view the password for a user.

 

Click CLOSE on the Password Information screen to close this window.

Email Address

This is the email address for this user.

Since this file contains more fields than will fit on one screen, there are tabs containing more fields for input.  Be sure to check these tabs before saving.

 

3.When ALL the information on ALL tabs has been input click SAVE on the toolbar.

 

To print a file listing

 

Click PRINT on the toolbar to print a list of the file displayed.

 


Some frequently asked questions: (click each question for answer)

 

Why is this option disabled?

Remember, the system must be open in order use an option which changes or updates information.
Click Open the Day before using this option.

 

Why does the system keep putting "AM" when I type "PM"?

If you type "P" for "PM", and press ENTER or TAB the system does not recognize this as a valid entry and changes the entry to "AM" which is the default.  Be sure to type "PM" to indicate after noon or the system will automatically put "AM" for you.
