Reinstate Agreement

The Reinstate Agreement option allows you to bring a previously terminated agreement back to where it was when terminated.  For example, if your customer terminated their agreement three months ago and now that customer wants to pick up making payments where he left off, this is a way to bring the agreement back to the point where it was when the customer terminated.

 

To reinstate an agreement

 

No Records on file!

If there are no eligible agreements for reinstatement, this message is displayed.  Remember, there may be a limit to the amount of time an agreement can be reinstated.

 

1. Select a customer for which to reinstate a previously terminated agreement.   How?

Only customers with eligible agreements are listed in the grid.

 

2. Select the agreement you want to reinstate.

Select the agreement you want to reinstate.  The agreements that qualify for reinstatement are listed in the drop-down box.

 

You have no replacement items available to rent.

This message is displayed when the previously terminated agreement contains items which are not available for rent in your store.  For example, if you terminated an agreement for a gas range (category code="Gas Range"), and the only idle ranges in your store are electric, the system does not allow you to replace this customer's item with a different category.

 

3. The original items for this agreement are displayed.

FIELD DESCRIPTIONS - REINSTATE AGREEMENT

Customer Information

The customer's number, name and address from the Customer File is listed.

Select Agreement

This is the agreement number for the agreement you wish to reinstate.

Agreement Information

The information about the agreement is listed in this section.  The date rented, date terminated, original terms, periods rented and periods remaining all reflect the state of the agreement when it was terminated.

Items from Agreement

This section lists the items originally rented on the agreement and their current status.

 

The information about the agreement is listed in the Agreement Information section and if the original items are available for rent they are filled in under the Items from Agreement section.

 

4. If the items are available, click SAVE to reinstate.

 

5. If the items are not available, enter a replacement item number for each item not available.

 
If the item originally rented on the agreement is not available you are prompted to pick a comparable piece of merchandise to rent to the customer.  The replacement item must have the same category code as the original item.

 

The original item information is displayed but it is "gray" indicating that it is UNAVAILABLE.  In the above example, the item is on loan to someone else and cannot be attached to this agreement.

 

6.  Choose replacement items, and click PROCEED.

 
The user must enter a Replacement Item, however, the item must be the same category as the original inventory item that was on the agreement.
 
Only inventory items that match the item originally rented on the agreement are displayed in this drop-down box.  The original item in our example was a "FUR-LIVING 3PC" category, so these are the only inventory items available to be reinstated on this agreement.  If the customer wants to rent a different category of merchandise, you must rent a new agreement instead of reinstating the original agreement.

 
Once you have chosen the correct item, click PROCEED.

 

 

7. When the replacement items are correct, click SAVE to reinstate.

 

Reinstate Club
This customer appears to be a terminated club member.  Reinstate?
Yes or No

If the customer was previously a club member the club membership is reactivated, as well.

 

Choose YES to reinstate this customer's club membership.

Choose NO to reinstate the agreement without the club membership.

 

8.  We suggest printing a new agreement for the customer to sign.  The agreement will have the correct remaining balance and new due date, but will also list any replacement items so the correct items are listed on the customer's printed agreement.

 


Reinstate Cutoff Days

In order to "reinstate" a terminated agreement you must have the number of days set in Company Setup.  In order for a terminated agreement to qualify for reinstatement it must be terminated within the number of cutoff days from the current open day.  Set the reinstate cutoff days in Company Setup.

For example, if the number of cutoff days set up is 30, and the current open day is 3/3/2004 any agreements terminated more than 30 days before 3/3/2004 are no longer eligible for reinstatement.  Only agreements terminated within 30 days from the open day would be eligible, in this example.  So the number of cutoff days you set up is very important to reinstating agreements.

 

RESULTS OF REINSTATING AGREEMENTS

The Due Date is set to the current open day and any rent loss calculated on the terminated agreement is re-set to zero when the agreement is reinstated.  The reinstate record is deleted, so this agreement cannot be reinstated again until it is terminated.  The inventory is reset to active status.  The agreement balance remains the same as it was when the agreement was terminated, in this way the customer is able to pick up where they left off renting this agreement.

DAILY SUMMARY

The total number of reinstated item(s), agreement(s) and customer(s) is listed under "Reinstated" on the Inventory tab of the Daily Summary screen.

The agreements reinstated are listed in the Daily Exceptions section and are counted in the Daily Summary section, on the Daily Close Report.

How can I be sure my employees are reinstating agreements correctly?

Security is the best method to prevent unauthorized employees from reinstating agreements.
