The Model File holds the records to describe the models of inventory you have in YOUR store. The actual model number from the manufacturer may be used. The Model File is easily maintained by using the Purchase Order System, in which you are able to update cost, quantity on hand and even add new model numbers when the vendor changes a model.
This is the model lookup grid.

To search models
Click the column for the field you want to search and the search box at the top of the grid is changed to search the selected field. Type in the value you are looking for and press the TAB key. The selected model is highlighted in the grid, and you can click PROCEED to view the details about the model.
Highlight the model you want to lookup and double-click the row, or click PROCEED at the bottom of this screen.

To add a model record
1. Click on Add New at the top of the model grid (or on the model screen). Fill in the fields in each column according to the descriptions below.

The model number identifies the model with a unique number. This can be the actual model number from the manufacturer or you can assign the model number yourself. |

The name field can further describe the model number. Enter any combination of letters or numbers to describe this model record. |

The photo location is used to link the photo file stored on your computer to this particular model record. When a valid graphic file is located the picture appears on the screen with the model record. Click BROWSE to find the file to attach. When the image is displayed you can click the "X" to close the window, when you have finished reviewing, or you can click PRINT to print the image. |

This field refers to the manufacturer associated with this model. A drop-down box reveals all the brands previously entered in the Brand File. Click on the brand that goes with this model number. |

This field refers to the number of labels that needs to be printed for this model. For example, if this model is a 3-piece living room group you would want (3) three labels with the same inventory item number printed on each label. This would be (1) one label for each piece in the living room group. If this was a washer, the number of labels would be (1) one, because there is only (1) one piece associated with this model. |

This field refers to the point you want this model of inventory to go down to before ordering new items with this model. For example, if this is a washer model, you may want to keep (5) five in the store, but when you get down to (2) two reorder some more washers. In this case the reorder point would be (2) two. |

This field refers to the amount of this model inventory you want to order when the inventory reaches the re-order point. In the above example, since you want (5) five washers in the store, the reorder quantity would be (3) three. |

This field refers to the last time a purchase order with this model number was made. When adding a new model, leave this field blank. This field is automatically updated when you input a purchase order using the Purchase Order option. |

This field determines whether this model record is active, or still being ordered. Even though there may be items (historical) in your inventory file that use a model, you may want to set it to inactive when it is no longer available for new inventory.

This field determines the number of months after the **** when an extended warranty can be sold for an item. At any time during the number of months in this field from the first date rented to the open day, an extended warranty can be sold for this particular model.
If you do not limit the time when a customer is allowed to purchase an extended warranty you can set this field to 999 (that's 83 years!). This allows an extended warranty to be sold for any item with this model whenever it is rented. |

The total entered field represents the number of inventory items that were ADDED to the inventory file using this model number. |

The total cost field represents the total cost of the inventory items using this model number, updated the last time a purchase order was received. |

The quantity on hand field is the number of inventory items with this model number, updated the last time a purchase order was received. |

COST/PRICING INFO |

These (5) five fields record the last five cost figures from the Purchase Order option. Each time you purchase this model number the cost is recorded and updated showing the last (5) five purchases. When you add a new model leave these fields blank. |

This field contains the markup factor calculating the selling price. The cost is multiplied by this factor and the selling price is displayed in the next column of field. |

This field contains the calculated selling price as described above. |
|||||
The (5) five cost fields are combined and divided by (5) five to arrive at the average cost figure displayed in this field. |

The rates fields refer to the amount you would charge a customer to rent this inventory item "Monthly", "Weekly", etc. These rates are used when this model is chosen during Inventory Wizard or Purchase Order Wizard.

The terms fields refer to the length of time you would rent this inventory item for the rate chosen above. If you would rent this inventory item for $45.00/mo. for 18 months the terms field would be 18 and the rates field would be $45.00 in the "Monthly" row. |

2. Click SAVE on the toolbar, when all the information is correct.

Click OK to clear this message. If you want to add another model record, click the ADD button.

After you add a model record and close the maintenance form, the grid is refreshed and YOUR new model is listed in alphabetical order. |
To print a file listing
Click PRINT at the top of the form to print a list of the file displayed.
