COMPANY SETUP - MISC. INFORMATION TAB

Use Customer Applications

Customer's rental applications can be saved on the computer for future reference.  When adding new customers, the application form is automatically loaded so you can input the information at the time you are adding the customer.

This box must be checked in order to input the customer's application.  Click in this check-box if you want to enter the rental application for each customer in the computer.  If this check-box is checked, the Applications option is enabled on the File Menu and you are able to input the customer's application.

Use Corporate Edition

Daily transactions can be written to this file for download at the end of the day.  The system assumes that if you have this box checked that you are using The RAM System Corporate Edition and transfer transactions are handled accordingly.

Click in this check-box if your company uses The RAM System Corporate Edition.  If this check-box is checked, the system will track a transaction file to be send to your home office each night to be used to update the data in The RAM System Corporate Edition.

If this check-box is not checked, the system does not build this file.  The Transfer options are disabled when this box is not checked.

Use Performance Reporting

Performance reporting can calculate performance periods for reporting purposes.

Click in this check-box if you want to calculate performance periods based on quarters.  These quarters are defined as having 4, 4 and 5 weeks each.  This enables you to track more consistent totals for evaluating performance of employees.  You are required to set up the Performance Calendar in order to define your performance periods.

If this check-box is not checked, reporting uses a calendar month in calculating performance periods.

Use MACRS Depreciation

The system can make the depreciation calculation faster if it knows ahead of time what type of depreciation calculation you plan to use.

Click in this check-box if you want to use MACRS depreciation method for either book or tax method.

If this box is not checked, this indicates that you do not use the MACRS depreciation method for either book or tax method.

Use RPM Depreciation

The system can make the depreciation calculation faster if it knows ahead of time what type of depreciation calculation you plan to use.

Click in this check-box if you want to use RPM depreciation method, or Income Forecasting method for either book or tax method.

If this box is not checked, this indicates that you do not use the RPM depreciation method, or Income Forecasting method for either book or tax method.

Cost/Income on Service Ticket

The system allows you to customize the way your service ticket prints.

Click in this check-box if you want the COST and INCOME to print on the service ticket when using the Service option.

If this box is not checked, this indicates that you do not want the COST and INCOME printed on the service ticket.

Centralized Inventory Control

If you are using The RAM System Corporate Edition you can customize the way the receiving of inventory is handled.

This option is disabled if "Use Corporate Edition" is set to "NO".

Click in this check-box if your inventory is received at the home office and is distributed to your store through your corporate office.

If this box is not checked, it indicates that your store receives inventory directly from the vendor.

Condition Inventory on Termination

The Condition Code option allows you to set user-defined conditions for your inventory and rate the inventory using these conditions at the time of termination when the inventory item is returned to your store.

Click in this check-box if you want to use Condition codes to rate inventory when it is terminated.

If this box is not checked, it indicates that you are not going to use the Condition Code file to rate the inventory returned to your store.

Make Cash Price Permanent on Rent Override

The Make Cash Price Permanent on Rent Override option allows you to set the ability for a user to make the discounted cash price a permanent change in the Inventory file after it has been overridden during the Rent Inventory Wizard option or the Price Quote option.

Checking this box would allow an additional discounting of the cash price to occur.

For example, if one manager discounted a sofa 50% and this box was checked it would be possible for another manager with security (or this same manager) to discount the item another 50%.  Be sure you are aware of this possibility when setting this flag.

Click in this check-box if you want the user to be able to adjust the selling price when renting or quoting inventory, a permanent change to the inventory file, based on that user's Employee Level maximum discounts.

If this box is not checked, it indicates that you are not going to allow the user to make the adjust selling price a permanent change to the inventory file, based on that user's Employee Level maximum discounts.

Round Tax Always

Round Tax Always

Click in this check-box for the system to always round the tax calculation to charge more tax. For example, if the tax is calculated to be $0.142, with this flag checked the system would charge $0.15.

If this check-box is not checked the tax is rounded using normal rounding methods.  For example, if the tax is calculated to be $0.142, with this flag unchecked the system would charge $0.14.

Verify Password at Options

Click in this check-box for the system to verify the user's password at each option in the system, regardless of who logs in.

If this check-box is not checked the system only verifies the user's password when the user logs in to the system.  That user's password and user level is used until that user logs out.

Retrieve Transfers from Email

Retrieve Transfers from Email

Click in this check-box for the system to read your email (the email account set up under the Email tab in Company Setup. When you choose Transfer In the system will scan through the emails in this account and find any attached transfer files and extract the files, transfer the inventory in and then delete the emails automatically.

If this check-box is not checked the system does not check an email account for transfer files and any emailed transfer files must be copied to this computer manually.  When you choose Transfer In the system does not scan your email accounts, and requires you to use a floppy disk or other media device for the transfer files.

Track Route Summary

The summarized information such as BOR, rentals, terminations, paid out items, etc. can be tracked for each separate Route used.  If you do not track customers using Route codes, you should leave this box UNCHECKED as not tracking these calculations will make the Close Day process faster.

If this box is not checked, this indicates that you do not want to track Route Summary information and no records will be written to the Route Summary file during the Close Day option.

Show Expiring Days Message

The Show Expiring Days Message allows you to have a message display (15) fifteen days prior to the system shutting down.

Click in this check-box to have the system display a warning message (15) fifteen days prior to your system's expiration date.  The warning is re-displayed each day until the renewal code is input or until the expiration date whichever comes first.

Example:  There are only 1 days remaining for this system.  Please call for a license renewal.

If this check-box is not checked, there is NO WARNING when the system is going to expire.

Do you Floorplan merchandise?

If you use floor planning with your vendors there are special fields in the Inventory file associated with floor planning.

Click in this check-box if you floor plan merchandise.  Floor planning is a way for vendors to display merchandise in your store and your store only pays for the items that are rented by customers.  Our floor plan fields help to track which items have been paid and which have not.

Leave this box UNCHECKED if you do not floor plan your inventory.

Do you have inventory with components?

If you have serialized components associated with inventory items, these components can be tracked in the software.

Click in this checkbox if you want to track components using the system.  This enables the component information in the Inventory file.

Leave this box UNCHECKED if you do not want to track components in the system.  You may still have inventory with components even if you leave this box unchecked, but the component fields will remain disabled.

Do you Rent Wheels/  Tires?

If you rent wheels and tires there are special fields associated with wheels and tires that are enabled when you answer YES to this question.

Leave this box unchecked if your store does not rent wheels/tires.

Click in this check-box if you rent wheels/tires to your customers.

Do you Rent Other Merchandise?

Check this box if your store rents wheels/tires and other merchandise such as furniture or appliances.

Leave this box unchecked if your store rents wheels/tires exclusively.

If you check the Do you Rent Wheels/Tires? checkbox, the RAM Quick Launch menu buttons for Inventory and Rent Inventory appear with wheel and tire icons.

Require Description on Inventory

The system can require the user to input a description during the Inventory Wizard, or you can allow the inventory item description to be left blank.

Leave this box unchecked if you want to allow the user to skip the inventory item description on some inventory items.

Click in this check box if your store requires a description input for each inventory item.  This will force the user to input a description when adding a new inventory item.

The system can require the user to input a serial number during the Inventory Wizard, or you can allow the inventory serial number to be left blank.

Leave this box unchecked if you want to allow the user to skip the inventory item serial number some inventory items.

Click in this check box if your store requires a serial number input for each inventory item.  This will force the user to input a serial number when adding a new inventory item.

The system can automatically scan the specified email inbox and check for emails containing the following:

Cost Corrections from Corporate Office

RBV Updates from Corporate Office

Auto Sent Shared Support Files from Corporate Office or Another Location

Check Email on Open Day

Leave this box unchecked if you want to manually update the items listed above.  This requires the user to check their own email for these items, copy the files manually from the email and use the utilities within The RAM System in order to update the data.

Single Store?

If you only have one store using the software, you would want to leave this box unchecked.  There is no reason to check your email for updates when you have a single location.

Check Email on Open Day
Click in this check box if you want the system to automatically scan the email inbox you specify.  Then it automatically extracts the files needed and updates the data with the changes that were emailed to your store.  All of this is done when you open then day each morning.

1st Day of Business

Enter the first day this business was opened.  This number is used for calculating MACRS depreciation.  A drop-down box reveals a calendar, so you can choose the correct date, or simply type the date using MM/DD/YYYY format.

Fiscal Year End Month

Enter the number of the month for your fiscal year-end.  If this is December enter "12".

Weekly Divide Factor

Enter the divide factor to calculate the weekly rental rate based on the monthly rental rate entered in the Category file.  If you enter 4.33333 the monthly rate is divided by this number to display the weekly rate.

1st Day of Week

Enter the first day of the week.  A drop-down box displays the days of the week. This field is used to calculate all Week-To-Date fields.  If you want your business week to begin on Thursday instead of Sunday, set this field to "Thursday".

Max Bad Checks

Enter the number of checks you allow a customer to return before a message is displayed prompting you not to accept any more checks from this particular customer.

Bad Check Fee

Enter the amount your company charges as a NSF charge, or a bad check charge.

Loaner Cutoff Days

Enter the number of days you allow a customer to keep a loaner.  Once the customer has exceeded this number of days, an exception is printed on the Close Day report.

Reinstate Cutoff Days

Enter the number of days you allow a customer to wait after picking up a terminated contract to continuing to pay on that contract where they left off.

For example, if a customer's agreement is terminated and some time later the customer wants to resume renting the same (or similar) item, picking up paying for it where he left off when it was terminated, this would be a reinstatement.  The amount of time defined by "some time later" is what this field controls.

You may have legislation in your state which governs the amount of time you have to allow a customer this opportunity, or you may want to allow a customer an unlimited amount of time to reinstate.

Report to File

 

The Report to File option allows the system to create a report in PDF (Adobe Reader® format) and copy it to the shared directory you specify in Workstation Setup.  This file is in addition to the printed copy of the reports.

Check this box to allow the reports in the system to be printed automatically in a PDF format to a directory on the computer that you specify.

If this option is not checked, the reports in the system are not automatically generated in PDF format and are not copied to the computer.

In some special cases such as the Daily Close Report, the day of the month is added to the end of the file name.

Check this box if your store emails the Daily Close Report at the end of the day to the corporate office.

Leave this box UNCHECKED if your store does not email the Daily Close Report at the end of the day to the corporate office.

Email Address

Enter the email address for your corporate office or the person to whom you want to email the  Daily Close report.

Overtime Calculation

The Overtime Calculation option allows you to decide how to pay overtime for your employees.  A drop-down box reveals the (2) two possible calculation methods.

Weekly Over 40

Choose this option to calculate overtime if the employee has time worked over 40 hours per week.

Daily Over 8

Choose this option to calculate overtime if the employee has time worked over 8 hours per day.

RBV Controlled by Corp?

RBV Controlled by Corp?

Check this box if you want your home office to calculate your RBV using The RAM System Corporate Edition. You must have Use Corporate Office flag checked in order to use this feature.

Checking this box isn't enough.
Simply checking this box in Company Setup will not update the RBV calculations for you.
Your stores must be using Replication OR the Corporate office must transmit the RBV text file back to the stores after processing depreciation.

RBV Controlled by Corp?

Leave this box UNCHECKED if your store does not want the corporate office to send calculated RBV numbers back to your inventory records.

If you have both boxes checked:

The Department file does not give the option for how to calculate RBV.  You have told the system that you are letting the corporate office control the calculation.  You must be using Replication or getting the RBV file transmitted to your from corporate via email or another method.
 
The Inventory grid no longer displays a Calc RBV button, since you are letting corporate control updating this field.
 
The Current RBV field in the Inventory file will only be up to date as of the last time the corporate office processed depreciation and sent the information back to the store.  When this box is checked, there is no other option at the store level except for the corporate location to process depreciation and send the RBV back to the stores.
 
Be sure to contact your administrator for more information about this field and the process for updating.

RBV Controlled by Corp?

You are telling the system that Corporate office is calculating your depreciation but for cash sale purposes I need to calculate my RBV using a different method.
If you are using Corporate Edition but want to calculate your own RBV:


The Department file gives you limited choices for calculating RBV based on the fact that you are using Corporate Edition software.  Income Forecasting and MCR are not accurately calculated in your store alone.

You are not using Corporate Edition, and these settings indicate that you are processing depreciation at your single location.


The Department file gives you the extended (or complete) list of choices for calculating RBV because you can rely on the calculations made by your store alone.  There are no other locations to consider when calculating depreciation.
 
IF RBV IS NOT CONTROLLED BY CORP
The Inventory grid displays the Calc RBV button.
 
The Current RBV field is calculated at one of (3) three different times:
 
When you access a single inventory item, that single item's Current RBV is recalculated, based on the Department settings.
 
When you dispose of an inventory item the system recalculates the Current RBV due to this transaction.
 
When you click the Calc RBV button, the Current RBV for ALL inventory items is recalculated based on the Department settings.

 


Some frequently asked questions: (click each question for answer)

 

What if I answer one of the questions incorrectly, can I come back and change it later?

Yes.  But be aware that changes will take effect when the Company Setup flag is changed.  For example:  If you change the Report to File field.  All reports printed AFTER the Company Setup flag was changed are sent to the new folder.  Previous reports printed are not copied to the new folder, they remain in the previously assigned folder.

 

Or if you change Condition Inventory on Termination from NO to YES; previously terminated items are not conditioned.  Only items terminated after the Company Setup flag is changed are prompted for condition codes.

 

Some of the existing data may need to be changed or updated to match the new Company Setup settings.  This is the user's responsibility to make sure the data is accurate.
